Moment Letters (“Moment Letters,” “we,” “us,” or “our”) is a platform for creating tribute pages, collecting workshop testimonials, and celebrating milestones, operated by NS Trainings. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website at https://momentletters.com and all related services (collectively, the “Service”).
By using the Service, you agree to the practices described here.

Information We Collect
We collect information in three main ways:
Information you give us directly
- Tribute creators (people who set up and pay for a tribute page): your name, email address, and account credentials. If you sign in with Google, we receive your name, email, and basic profile information from your Google account.
- Submitters (community members who contribute to a tribute page): your name, email address, and the content you choose to share — text letters, voice notes, video messages, and photos.
- If you check the reply consent checkbox when submitting, we record your consent for the honoree to reply to you directly via email.
- Payment information: when you purchase a paid plan, your payment details (card number, billing information) are collected and processed directly by our payment processor, Polar.sh. We do not store full card numbers on our servers.
Information we collect automatically
- Basic usage and device data such as IP address, browser type, pages visited, and referring URLs.
- Cookies and similar technologies used for authentication, analytics, and advertising measurement (see “Cookies and Tracking” below).
Media and content
- Uploaded media (audio, video, photos) and text submissions are stored securely with our cloud storage provider, Cloudflare R2.
Information About Honorees and Subjects
When a page creator sets up a tribute or testimonial page, they provide the honoree’s or subject’s name, title, and optionally a photo. This person may not have a direct account with us. Page creators are responsible for having appropriate permission to create a page featuring another person. If you believe a page has been created without your consent, contact us and we will review and remove it if appropriate.
How We Use Your Information
We use the information we collect to:
- Create, host, and display tribute pages and slideshows.
- Authenticate accounts and keep them secure.
- Process payments and manage subscriptions through Polar.sh.
- Send transactional messages (for example, receipts, account notices, and submission notifications).
- Send email replies from the honoree to contributors who have opted in (via MailerSend, our email provider).
- Display the honoree’s name and likeness on the tribute or testimonial page.
- Measure and improve the performance of our website and marketing.
- Detect, prevent, and respond to fraud, abuse, or violations of our Terms of Service.
- Comply with legal obligations.
We do not sell your personal information.
Third-Party Services
We rely on trusted third parties to operate the Service. Each handles your data under its own privacy policy:
- Cloudflare R2 — storage of uploaded media and submissions.
- Google Analytics — website usage analytics.
- Google OAuth — optional sign-in for tribute creators.
- LinkedIn Insight Tag — advertising and conversion measurement.
- MailerSend — transactional email delivery for reply notifications and system emails.
- Meta (Facebook) Pixel — advertising and conversion measurement.
- Neon — cloud database hosting (stores account data, submissions, and page metadata).
- PayPal — donation processing for tribute pages that have donations enabled (via IPN).
- Polar.sh — payment processing and subscription management for paid plans.
- Vercel — application hosting, edge delivery, and serverless functions.
We share only the information necessary for these providers to perform their functions.
Cookies and Tracking
We use cookies for authentication — these are essential to keep you signed in and the Service functioning, and cannot be disabled. We also currently load analytics and advertising scripts (Meta Pixel, LinkedIn Insight Tag, Google Analytics) that may set their own cookies for measurement and marketing purposes.
We are working toward a full consent management implementation. In the meantime, if you are an EU/EEA visitor and wish to opt out of analytics or advertising cookies, please contact us at info.capturecraft@gmail.com and we will accommodate your request. You may also use your browser settings or an ad blocker to block tracking scripts. We do not currently respond to Do Not Track (DNT) browser signals.
Data Retention
- Media and submissions are retained for the life of the tribute page. When a page expires or is deleted, associated media and submissions are removed from active storage and deleted within a reasonable period thereafter.
- Account data is retained for as long as your account is active and according to your subscription status. If you close your account or cancel a subscription, we retain limited records as needed to meet legal, tax, and accounting obligations, then delete or anonymize the rest.
- Email reply consent records are retained for the duration the tribute page is active. If you withdraw consent, we update the record immediately.
Your Rights (GDPR and CCPA)
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Request deletion of your information.
- Object to or restrict certain processing.
- Receive a portable copy of your data.
- Opt out of the “sale” or “sharing” of personal information (we do not sell personal information).
- Lodge a complaint with your national data protection authority (if you are in the EEA or UK).
- Withdraw consent for email replies at any time by contacting us — we will update our records and the honoree will no longer be able to send you emails via the platform.
If you are in the European Economic Area or UK, we process your data under lawful bases including consent, contract performance, and legitimate interests. If you are a California resident, you have rights under the CCPA/CPRA, and we will not discriminate against you for exercising them.
To exercise any of these rights, email info.capturecraft@gmail.com. We may need to verify your identity before responding. We aim to respond within 30 days, or within such shorter timeframe as required by applicable law.
Children’s Privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
International Transfers
We are based in the United States, and your information may be processed in the U.S. and other countries where our providers operate. For transfers from the European Economic Area or UK to the United States, we rely on Standard Contractual Clauses (SCCs) and other appropriate safeguards where required.
Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised version with a new “Last updated” date and, where appropriate, notify you.
